Terms & Conditions – Haberdashers' Hatcham Free School

 

1. Introduction

1.1 The Instrumental Music Teacher provides private musical tuition at Haberdashers' Hatcham Free School, Pepys Road, London, SE14 5SF, specialising in Electric Bass Guitar and Music Production. 

1.2 The teacher is self-employed and has completed all required pre-employment checks by the school, including enhanced DBS clearance, and adheres to the school’s safeguarding policies and staff code of conduct. 

1.3 The teacher has completed Prevent Duty training and follows the statutory guidance of Keeping Children Safe in Education (KCSIE).

1.4 The teacher holds public liability insurance and uses PAT-tested equipment.

 

2. Lessons at School

2. Lessons

2.1 The aim is to schedule 30 x 30-minute lessons per pupil annually during term time. Lessons may also be scheduled outside of term time and are subject to availability.

2.2 Lessons may be front-loaded to minimise clashes with school examinations and holidays, with top-up lessons available, subject to availability.

2.3 Lessons will ordinarily take place at Haberdashers' Hatcham Free School. Where necessary, and by prior arrangement with the parent/guardian, a lesson may be delivered online.

2.4 Lessons are allocated on a weekly basis with a rolling rota to ensure pupils do not miss the same classroom lesson each week. Lessons are available before or after school.

2.5 Progress reports will be provided to parents/guardians three times a year, at the end of each term.

2.6 The Teacher will advise on suitable examinations for pupils, with separate fees applicable for these examinations.

2.7 The Teacher may appoint a suitable deputy to cover lessons if necessary.

2.8 Year 6 Pupils have lessons allocated and rotated in the afternoons only.

  • Group Tuition

    • 2.9 Group tuition may be offered…

    • 2.10 Session length: 1 pupil 30 mins / 2 pupils 45 mins / 3 pupils 60 mins

    • 2.11 Duration is based on pupils enrolled, not attendance on a particular day

    • 2.12 If the group size permanently changes, the session duration may change

    • 2.13 Missed group lessons will not normally be provided as individual catch-up lessons. Where a group lesson is cancelled by the Teacher, the missed lesson will be rescheduled or otherwise made up.

  • Ensembles

    • 2.14 Ensembles normally run weekly, aiming for 30 sessions per academic year

    • 2.15 Fees/payment arrangements are those displayed when the place is purchased

    • 2.16 A pupil who misses an ensemble session cannot catch it up

    • 2.17 No refund or credit is given for an ensemble session missed by the pupil

    • 2.18 If you cancel an ensemble session, you’ll make reasonable efforts to provide a replacement or appropriate alternative

 

3. Safeguarding

3.1 The teacher follows the school's safeguarding policies and complies with KCSIE. 3.2 All sessions occur in designated teaching spaces on-site.

 

4. Invoicing

4.1 Lesson fees are charged according to the payment plan selected at the time of enrolment. The applicable fee, payment frequency and duration of the plan will be clearly displayed at the point of purchase and confirmed when the plan is purchased.

Payment options may include yearly, termly and monthly plans.

4.2 Tuition fees are reviewed annually. Parents/guardians will be notified of any changes to fees before the start of the academic year to which the new fees apply.

4.3 There are three terms per academic year (Autumn, Spring and Summer), each including two half terms with a half-term break.

4.4 Payments are made in advance according to the schedule of the payment plan selected. Surplus lessons will be carried over if more than ten lessons are taught in a term.

4.5 Missed lessons, regardless of the reason, may not always be rescheduled, depending on availability. The teacher will make every effort to accommodate rescheduling where possible.

4.6 In the event of the Instrumental Music Teacher's absence, arrangements will be made to reschedule the missed lesson.

 

5. Notice

5.1 Annual tuition rate notifications are issued each July for the academic year commencing the following September.

5.2 To discontinue lessons, written notice must be provided before the end of the current term in order to avoid charges for the following term. For example, if lessons are due to commence after the Easter holiday in April, notice must be given by the end of the Spring Term (before the Easter school holidays).

5.3 If notice is given during a holiday period, or at the start of the term in which the pupil was due to begin, a £52 administrative fee will be charged to cover the costs of arranging a replacement pupil and associated onboarding, which may take up to two weeks.

5.4 To discontinue lessons, please email the teacher directly. Subscriptions and payment plans will then be cancelled on your behalf.

5.5 Plans cancelled directly through payment providers (e.g. due to failed or expired payments) do not constitute formal notice of cancellation. If a subscription is cancelled independently without written notice, the full term’s fees may still be due, in line with the notice period outlined above.

5.6 Yearly Plan Cancellation

For parents who have paid upfront for the yearly plan:

  • Cancellations must be made in writing before the end of any term. Lessons will continue until the end of that term.

  • If cancellation is requested mid-year, a refund may be issued only for full, unused terms (not partial terms), minus a £52 administrative fee.

  • Any partial terms already started are non-refundable.

All notice periods must be observed to qualify for any refund or cancellation.

 

6. Permission for Video/Images

6.1 Recording during lessons supports practice at home and, where applicable, may be used for performance assessments or exam submissions. Videos and/or photos are taken using dedicated teaching devices and shared via Google Drive, iCloud, or private video links.

6.2 By enrolling in lessons, parents/guardians consent to the use of lesson recordings for educational purposes, including exam submissions and progress tracking. Recordings are stored and shared securely and will not be used for marketing or public distribution without additional consent being acquired.

 

7. Behaviour and Safeguarding

7.1 All students are expected to behave respectfully and engage appropriately during lessons. The teacher reserves the right to end a session early without refund if behaviour compromises the safety or learning environment.

7.2 For online lessons, a parent or guardian must be present within the home during the session. Pupils should attend from a quiet and appropriate space suitable for online tuition.

7.3 The teacher complies with the safeguarding procedures of Haberdashers' Hatcham Free School and follows best practice in one-to-one tuition settings.

7.4 As outlined in 2.11, behaviour that negatively impacts others in shared venues may result in lesson relocation or suspension.

7.5 If a pupil becomes unwell during a lesson, the session will be paused or ended early, depending on the severity of the symptoms. The teacher will:

  • Notify the parent/guardian immediately.

  • Encourage the pupil to rest in a safe, supervised space until they are collected (for in-person lessons).

  • For group sessions, ensure the unwell pupil is separated from others where possible.

  • For online lessons, advise the parent/guardian to end the session and reschedule if appropriate.

To minimise disruption and the spread of illness, parents/guardians are asked not to send pupils to lessons if they are unwell. Lessons missed due to illness may not be rescheduled, but the teacher will try to offer catch-up options where availability allows.

 

8. Data Protection

8.1 Personal information, including names, contact details, and lesson materials, is stored securely and used only for tuition and administrative purposes.

8.2 Recordings and documents are shared only with the student and parent/guardian and are not distributed to third parties without consent.

8.3 Data is stored using secure, encrypted platforms (e.g. Google Drive, iCloud) and will be deleted upon request or after the student discontinues lessons.

9. Updates to Terms and Conditions 

These Terms and Conditions may be updated periodically to reflect changes in the services or policies provided by Teresa @ TJM Teaches. Clients will be notified directly if significant changes occur. By continuing to use the services after being notified, clients agree to the new terms. Those who disagree may discontinue the service within a reasonable period without penalty.
